Assessment Conduct Procedure
v3.0
Purpose. This procedure sets the steps an assessor follows to plan, conduct, judge, record and give feedback on an assessment so that every decision is defensible.
1.Step 1: Plan
Confirm from the trainer matrix that you are verified to assess the unit. Check the strategy register for the assessment methods and timing, download the current version of the assessment tool from the resource library, and read the learner's support plan in the student register for any reasonable adjustment. Confirm the assessment context, resources and any workplace arrangements.
2.Step 2: Brief the learner
Explain the purpose of the assessment, the tasks, the evidence required, the criteria, the timing, the reasonable adjustments in place, the reassessment and appeal rights and what happens if they are not yet competent. Record the briefing on the assessment plan and have the learner sign it.
3.Step 3: Conduct
Conduct the assessment as the tool instructs. Observe performance against the observation checklist, ask the questions as written and record responses, and collect product and portfolio evidence. Apply only the reasonable adjustments approved in the support plan and note them. Do not coach the learner during a summative task.
4.Step 4: Judge
Compare the evidence with the unit requirements and the marking guide. Confirm that the evidence is valid, sufficient, authentic and current before recording a competent decision. Where any evidence gap remains, record not yet competent for the task, identify the gap in writing and arrange reassessment.
- Valid: matches the unit requirements
- Sufficient: covers all criteria on enough occasions
- Authentic: the learner's own work
- Current: demonstrates present competence
5.Step 5: Record and feedback
Record the outcome, the date and the assessor in the student register within ten business days. Give the learner written feedback that identifies strengths, gaps and next steps, and file the completed tool and evidence in the learner's assessment record with the tool version number.
6.Step 6: Reassessment and appeals
Offer reassessment within the program timeframe at no cost for a second attempt. Tell the learner how to appeal and record any appeal in the complaints and appeals register.
