Enrolment and Pre-Training Review Procedure

Purpose. This procedure sets the steps for enquiries, information provision, pre-training review, unique student identifier verification and enrolment so that learners are placed in the right program with the right support.
1.Enquiry and information
Every enquirer must be given the program information, the fees and refund terms, the entry requirements, the delivery mode and schedule, the support available and the complaints and appeals process before they enrol. Information must be accurate, consistent with the strategy register and written in plain language.
2.Pre-training review
Before enrolment is accepted the learner completes a pre-training review with a Student Services officer or the language, literacy and numeracy specialist. The review confirms the learner's goals, prior learning, the suitability of the program and delivery mode, and any support needs. The review must be recorded in the student register.

3.Foundation skills assessment
Every learner completes the approved foundation skills assessment, and the specialist interprets the result against the core skill demands of the program. Where a gap is identified the specialist develops a support plan with the learner before the first session and records it in the student register.
4.Unique student identifier
A learner cannot be enrolled without a verified unique student identifier unless an exemption applies. The Administration and Enrolments Officer must verify the identifier through the national register and record the verification date. No statement of attainment or qualification will be issued without a verified identifier.
5.Enrolment
When the review and verification are complete, the enrolment form is signed, the fee arrangement recorded, the learner allocated to a cohort in the student register and the welcome pack sent. The trainer is notified of any support plan before the first session.
6.Records
Enrolment records, pre-training reviews and support plans are personal information and must be stored in the student register with access limited to authorised staff.
